We are currently seeking a PROGRAM ASSISTANT to be based out of our WOODLAND and/or WEST SACRAMENTO offices.

PROGRAM ASSISTANT - How You Will Help

In this role as a PROGRAM ASSISTANT, you will provide a wide variety of administrative and staff support at a program level including:

  • Scheduling and coordination of visits and intakes with families
  • Collecting, entering and distributing program data and maintaining files
  • Compiling information and assisting in the development of program reports
  • Scheduling a high volume of visitation sessions that include managing staff members' daily schedules in a variety of locations
  • Greeting visitors and taking phone calls, referring visitors and callers to the appropriate staff or office
  • Ensuring the smooth operation of the office including but not limited to: ordering supplies, operating a variety of standard office machinery and maintaining inventory of office supplies, books, food and beverages

A successful PROGRAM ASSISTANT in this role is someone who has strong time management skills and is comfortable working in a fast-paced environment including the ability to multitask, organize and prioritize many responsibilities and due dates. 

The PROGRAM ASSISTANT will be comfortable in interacting and contacting parents, caregivers and county partners to gather information and complete intake paperwork for program enrollment.

PROGRAM ASSISTANT- You Must Have

High School Diploma or equivalent plus priorexperience providing office/clerical support to programs (experience in a social services setting is an added bonus!)

Strong interpersonal skills to engage and establish rapport and trust with families, including multi-generational families in diverse communities

Ability to problem solve, assess a child’s needs and report concerns to supervisors 

Demonstrated patience and flexibility when working with children and adults

Excellent written and verbal communication skills

Must be highly skilled in Microsoft Word, Excel, Outlook, Publisher and data entry

Minimum keyboard skills of 55 WPM

Ability to transport children in personal vehicle

Availability evenings and Saturdays to support program needs on occasion

 

PROGRAM ASSISTANT- You Might Have (Desired, Not Required)

Bilingual (Spanish) 

Experience interviewing adults and gathering sensitive information

Understanding of the juvenile court process and how trauma and separation can affect families

 

You must meet all health screening, drug testing and background investigation clearances, as well as possess a valid driver’s license, insurance and have an acceptable DMV record and reliable transportation.
